
WeRPN is the professional association representing registered practical nurses across Ontario. The organization supports and advocates for regulated health professionals while operating in a privacy-sensitive, healthcare-adjacent environment where staff routinely work with confidential member and organizational information.
AI was already beginning to appear in WeRPN’s day-to-daywork, but staff had different levels of familiarity, confidence, and understanding of appropriate use. WeRPN needed a consistent foundation that would help non-technical teams understand what AI can and cannot do, recognize privacy and confidentiality risks, and make sound decisions in situations where professional accountability remains with the individual and the organization.The objective was to build practical AI literacy and establish shared responsible-use expectations that staff could apply immediately.

Participants moved through a deliberate arc. They first built an accurate, plain-language understanding of what AI is and is not, including the full range of what it can now generate and the core limitations that govern all of it. From there, they confronted the data, privacy, confidentiality, disclosure, and accountability risks that matter most in WeRPN’s environment, then developed the judgment to navigate them, and finally applied everything to realistic scenarios drawn from their own work. Anchoring the session were four shared frameworks — the AI Data Check, the Accountability Principle, the Default Rule, and the Disclosure Principle — a common language WeRPN’s staff could carry into the decisions they actually face.

WeRPN’s staff now shares a common vocabulary for AI decisions and a set of frameworks they can apply in daily work. Participants described leaving more confident about using AI responsibly, with their own instincts about appropriate use validated and sharpened rather than replaced by rigid rules. WeRPN also came away with guidance that outlived the session: a plain-language internal document, AI Use & Disclosure Guidelines, the organization is now adopting as staff guidance, extending the shared language of the training into how the work gets done.
