To access the connector, you need an active HubSpot user account and must log in using your HubSpot credentials. A HubSpot Super Admin or user with App Marketplace permissions must complete the initial setup before other users in your organization can connect.
You access the feature by selecting your profile icon in ChatGPT's top-right corner, clicking Settings > Connectors > Connect on the application, which redirects you to HubSpot's login flow.
The integration operates within established API frameworks. All functionality in ChatGPT is subject to HubSpot's API usage limits and guidelines, and ChatGPT operates as a third-party service governed by your terms with OpenAI.
The connector maintains your existing HubSpot permission structure rather than creating new access controls. This means you only see the data you're already authorized to access. For example, a sales rep will only see pipeline data for deals they have permission to view in HubSpot.
However, the integration cannot replicate all HubSpot access controls. The HubSpot connector for ChatGPT does not provide access to custom Sensitive Data Properties or sensitive content from other Sensitive Data Covered Services, including Personal Health Information and other forms of Highly Sensitive Data.
This limitation represents a significant gap between native HubSpot access and what's available through the connector. If your organization uses HubSpot's Sensitive Data features for compliance requirements, that information remains inaccessible through the OpenAI integration, regardless of user permissions.
Your customer data is not used for AI training in ChatGPT when accessed through the HubSpot deep research connector. This actually represents a departure from OpenAI's standard data usage practices for many other ChatGPT interactions where user content is often used to train and improve OpenAI's models.
However, the integration still processes your customer data through OpenAI's systems to generate responses. While the data isn't used for model training, it undergoes analysis by OpenAI's large language models to produce insights and answer your queries. This processing occurs on OpenAI's infrastructure, meaning your customer CRM data temporarily resides outside the HubSpot environment during analysis.
The HubSpot connector is available to all HubSpot customers across all tiers who have a Pro, Plus, Team, Enterprise, or Edu OpenAI paid subscription. However, chat functionality for the Pro tier is not currently available for users located in EEA, Switzerland, and the UK, and chat functionality is not available to Plus tier customers regardless of location.
These restrictions create uneven access patterns within organizations, particularly for companies with global operations or mixed subscription tiers.
If external agencies or consultants in your HubSpot account have Super Admin access, they can connect the HubSpot connector for ChatGPT in your HubSpot account, after which other users can connect their individual accounts.
This setup creates a potential administrative concern: external parties with sufficient HubSpot privileges can enable organization-wide access to the OpenAI integration. You should audit your Super Admin access lists to understand who can authorize this third-party data connection.

Why might your organization consider this integration? The natural language interface can accelerate the discovery of trends and opportunities that might otherwise require manual report building.
However, you need to evaluate whether your data governance policies accommodate third-party AI processing of CRM information, even with training exclusions and permission boundaries in place. While the connector blocks access to some sensitive data types, these built-in restrictions might not match how your organization classifies sensitive information.
This integration represents OpenAI's first direct CRM connection, establishing precedent for how customer relationship data interfaces with large language models.
